How We Process Personal Data
Apotekarsocieteten (The Swedish Pharmaceutical Society) and Läkemedelsakademin i Stockholm (The Swedish Academy of Pharmaceutical Sciences) bring together professionals from across the entire pharmaceutical sector throughout Sweden. This Privacy Policy explains how we collect, use and protect personal data when you interact with us.
Apotekarsocieteten is a non-profit organisation whose purpose is to promote a high professional standard within the pharmaceutical field and to contribute to the development and use of medicines for the benefit of both individuals and society. To fulfil this purpose, the Society promotes knowledge and professional development within the life science and pharmaceutical sectors. Läkemedelsakademin i Stockholm AB is a wholly owned subsidiary of Apotekarsocieteten and is responsible for educational activities as well as shared support functions, including finance and administration. Apotekarsocieteten and Läkemedelsakademin i Stockholm AB act as joint data controllers because both organisations determine how personal data is processed within our operations. We are committed to protecting your privacy and safeguarding your personal data. We therefore have a joint function responsible for data protection matters.
Cookies
If you visit our login page, we will set a temporary cookie to determine whether your browser accepts cookies. This cookie contains no personal data and is deleted when you close your browser.
When you log in, we will also set several cookies to save your login information and your screen display preferences. Login cookies remain valid for two days, and cookies for screen display preferences remain valid for one year.
If you select “Remember me”, your login cookie will remain for two weeks. If you log out of your account, the login cookies will be removed.
We also use cookies to keep track of the contents of your shopping cart while you use our website.

Processing Activities
Development of Educational Activities
New Educational Activity
A new educational activity may be initiated internally, in collaboration with a partner, or in response to a direct request from a customer. At this stage, we process personal data relating to business contacts, including names, email addresses, telephone numbers and other contact details of our employees, partners, customers and potential contributors. The purpose of this processing is to provide customer service in line with our overall mission and to support the development of our educational activities and business operations. The legal basis for this processing is the performance of steps prior to entering into a contract (contract negotiations).
Proposal and Contract
At this stage, we process the same categories of personal data as described above. The purpose of the processing and the legal basis remain the same. In addition, we process personal data to retain documentation relating to the parties’ intentions and to comply with the requirements of applicable accounting legislation. The legal basis for the latter is compliance with a legal obligation. If no contract is concluded, we retain correspondence relating to proposals, draft agreements and contract negotiations, as customers often wish to resume discussions at a later stage. Proposals, acceptances and contracts constitute accounting records and are therefore retained for seven years in accordance with applicable accounting and tax legislation.
Programme Committee and Experts
A programme committee or working group is established to develop the educational activity. Experts who are suitable to contribute to the educational activity are identified. The personal data processed at this stage includes names, areas of expertise and assessments of suitability. The legal basis for this processing is our legitimate interests. We maintain a register of experts who have previously contributed to our educational activities. Information relating to external consultants and other contributors may be shared with the commissioning customer, where applicable, and with relevant employees within our organisation. Contracts are entered into with contributors. These contracts constitute accounting records and are therefore retained for seven years in accordance with applicable accounting and tax legislation.
Content Development
At this stage, the educational activity is developed. Personal data relating to individuals involved in preparing and delivering the educational activity is processed. The purpose of this processing is to develop and administer the educational activity, as well as to process payments to contributors and comply with accounting requirements. The legal bases for this processing are the performance of a contract (including employment contracts and contracts with contributors) and compliance with a legal obligation under applicable accounting legislation.
Marketing and Registration
The purpose of this process is to promote our educational activities, manage registrations and administer participation so that educational activities can be delivered effectively.
Educational Activity Offered
The educational activity is published in our business system and on our website. The purpose of this processing is to reach potential customers. The personal data processed includes contact details, as well as the names and company affiliations of contributing experts and members of the programme committee.
The educational activity is marketed through both targeted and general email communications based on our legitimate interests. These communications are primarily sent to previous participants in Läkemedelsakademin’s educational activities, members of relevant sections of Apotekarsocieteten, individuals who have subscribed to our newsletters, and our collaboration partners. To send these communications, we process personal data. You may unsubscribe at any time by using the link included in each email or by contacting us. Information about the educational activity is also published on our social media channels.
Registrations are recorded
Examples of the personal data we collect include your name, postal address, email address, dietary requirements, professional field, educational background, the number of years you have worked in the field, and the number of courses you have completed within the field. Once you have registered, a booking confirmation is sent to your email address. For fee-based courses, the booking confirmation also includes payment instructions (see the section on financial administration for information on how personal data is processed in that context). The purpose of the processing at this stage is to carry out the administration necessary to receive payment and, for in-person educational activities, to provide the appropriate catering based on any dietary requirements.
Information is Provided
This step is necessary to ensure that participants receive all the information they need about the educational activity.
Participants receive information by email. The personal data processed for this purpose includes email addresses and information relating to contributors. For educational activities where course materials are provided through a learning platform, participants receive an invitation by email and create their own login credentials. The personal data processed includes name and login credentials. The purpose of this processing is to enable participants to take part in the educational activity. The legal basis for this processing is the performance of a contract.
During the Educational Activity
The processing described above is supplemented by the personal data processing necessary to administer participation and any dietary requirements during the delivery of the educational activity delivery.
Participant List
Participant lists and name badges are prepared using the same personal data that was collected during registration. Where participants have provided information about dietary requirements, the catering provider receives information about the number of participants requiring each type of special meal. No personal data is shared; only the number of meals required for each dietary category is communicated.
Attendance
Attendance is verified against the participant list immediately before the educational activity begins. In addition to the purposes described above, attendance is recorded to enable us to issue course certificates after the educational activity. For in-person educational activities, participants also receive a name badge.
Delivery of the Educational Activity
The personal data processed during the educational activity includes personal data contained in presentation materials used by speakers and participant lists. Personal data previously collected regarding dietary requirements is used to ensure that appropriate meals can be provided.
At the start of the educational activity, we normally distribute a participant list. Many participants appreciate having a participant list as it facilitates networking, which we consider to be an important part of professional development. On this basis, the legal basis for processing participants’ names and organisations for inclusion in the participant list is our legitimate interests. The participant list contains each participant’s first name, last name and organisation. If you do not wish your name and organisation to appear on the participant list, please notify the responsible project administrator when registering for the educational activity.
In some cases, the educational activity is recorded or livestreamed. This involves the processing of personal data relating to participants, such as images. The purpose of the recording or livestream is to make the educational activity available to remote participants and, in some cases, to participants after the event. We will always inform participants in advance if an educational activity will be recorded or livestreamed. If you have any questions or concerns, or if you do not wish to appear in recordings, please contact us in advance so that we can discuss possible arrangements.
Follow-up and Evaluation
After the educational activity has been completed, personal data relating to attendance is recorded in our business system and learning platform to enable the correct certificates of completion to be issued.
To help ensure the quality of our educational activities, evaluations are carried out. These may take place after the educational activity, but in some cases also before or during the educational activity. Participants are invited to complete an anonymous survey via a link sent by email or through the learning platform. Survey responses are compiled into a report, which is stored together with other documentation relating to the educational activity. The report is analysed, and contributors who have served as educators receive feedback on the evaluations of both their own and other contributors’ performance. The summary report containing the survey results is deleted no later than seven years after the educational activity has been completed.
Financial Administration
At this stage, we process the personal data necessary to manage payments for meals, accommodation and fees associated with our educational activities.
Data Deletion
Sensitive personal data, such as dietary requirements or allergy information, is deleted no later than 48 hours after the educational activity has been completed. Participant lists and group allocations are also deleted.
Course Certificates
For instructor-led courses and other e-learning courses, digital course certificates are issued via True using blockchain technology. These certificates are retained indefinitely and are not subject to automatic deletion. Data subjects may change the visibility setting of their course certificate at any time or request that it be deleted by contacting Läkemedelsakademin.
Course certificates for the e-learning course in Pharmacotherapy and Self-Care are issued through the learning platform. These certificates are retained for five years and are then deleted.
Recruitment
If you apply for a position with Apotekarsocieteten or one of its subsidiaries, we process your personal data in order to manage your application.
The processing of your personal data is necessary both to take steps prior to entering into an employment contract and to assess candidates for the position. The personal data processed may include your name, contact details, address, information contained in your CV, personal data provided in your cover letter and references. You are responsible for informing your referees that their names and contact details have been provided to us as part of your application.
We often use external recruitment consultants during the recruitment process. They are instructed to delete all personal data relating to applicants once the recruitment assignment has been completed. Some applicants choose to remain in the recruitment consultant’s database to be considered for future employment opportunities. This is an agreement between the applicant and the recruitment consultant.
Following the completion of the recruitment process and an evaluation of the recruitment procedure, all information submitted by applicants who were not offered the position will be deleted or destroyed in both physical and digital form no later than six months after the position has been filled.
The personal data processed may include:
- First and last name
- Postal address
- Email address and telephone number
- Year of birth or personal identity number
- Information contained in your CV
- Information contained in your cover letter
- Any supporting documents submitted with your application, such as transcripts, certificates or diplomas
Accounting and Tax
We process personal data to comply with our legal obligations relating to accounting and taxation in accordance with applicable accounting, tax and annual reporting legislation. The legal basis for this processing is compliance with a legal obligation.
Profiling
To provide good service and relevant offers, we carry out limited profiling of members’ and customers’ personal data. This may involve offering educational activities and other relevant opportunities to individuals working in specific areas of the pharmaceutical or medical technology sectors. The legal basis for this processing is our legitimate interests. Such tailored communications may, for example, be sent to previous participants in Läkemedelsakademin’s educational activities, members of relevant sections of Apotekarsocieteten, individuals who have subscribed to a specific newsletter, and collaboration partners within the relevant field. You can unsubscribe from these communications at any time by using the link included in each email or by contacting us.
Our aim is to use only the personal data necessary to ensure that our communications remain relevant. We regularly review our use of personal data. If we expand our use of profiling, we will update this Privacy Policy and provide any information required under applicable data protection legislation.
Your Rights
If you believe that we have processed your personal data incorrectly or that it needs to be corrected or completed, you have the right to request that we rectify your personal data. If you no longer want us to process your personal data, you also have the right to request that it be erased. We will rectify or erase your personal data where possible, taking into account the purpose of the processing, our legal obligations and any contractual obligations we may have. If you have given your consent to the processing of your personal data, you have the right to withdraw your consent at any time. We will then stop the processing covered by that consent. You also have the right to object to the processing of your personal data for marketing or profiling purposes, or on grounds relating to your particular situation. If you object, we will assess whether your personal data should be erased. If you no longer wish to receive marketing communications from us or to be subject to profiling, we will always stop processing your personal data for those purposes.
If you are involved in a legal dispute and need your personal data as evidence, you may request that we restrict the processing of your personal data rather than erase it. You may also request restriction of processing while we are considering a request to rectify or erase your personal data. During that period, we will not use your personal data except where permitted by applicable law.
Finally, you have the right to request information about how we process your personal data (commonly referred to as a subject access request). This includes information about the purposes of the processing, the legal basis for the processing and the categories of personal data concerned.
